To improve executive decision-making, ask: Does this report support a specific decision?
To turn data into action, ask: Is the recommended next step clear?
The AOTMP Community, including Advisory Council members, Industry Leadership Committee members, subscribers, and thought leadership followers, tells us that leaders rarely lack data. The challenge is producing trusted insight that enables faster, higher-confidence decisions across technology, finance, procurement, and operations.
The most valuable reports do more than describe activity. They show the current state, quantify the business impact, and identify the next decision or action required.
The Reporting Gap
Many dashboards track outputs instead of guiding action. Leaders may see extensive metrics but still lack clarity about what matters, what has changed, and what requires attention. Common issues include:
- Metrics that show activity but not business impact.
- Conflicting data from disconnected systems or inconsistent definitions.
- Financial and operational data that does not align in timing or scope.
- Reporting owners who are unclear or distributed across functions.
- Executive reports that require long meetings just to interpret the numbers.
For example, invoice volume is an activity measure. A decision-ready view shows a spend variance, its likely cause, the affected business service, the projected financial impact, and the action needed to address it.
A Better Reporting Standard
Before building or refreshing a report, leaders should require clear answers to five questions:
- Who will use this report?
- What decision will it support?
- What action, tradeoff, approval, or escalation could result?
- Which few metrics are essential?
- Who owns the accuracy and refresh cycle for each critical data source?
Every executive report should make three elements immediately clear:
- The current state.
- The business impact, risk, or opportunity.
- The recommended action.
For example: Mobile spend is tracking 8 percent above forecast due to increased international usage and unassigned devices. Approve targeted usage controls and inventory reconciliation to reduce the projected quarterly variance.
That is decision-ready reporting: it connects facts to impact and provides a clear next move.
What Leading Organizations Do
Organizations that build confidence in reporting use a focused, disciplined approach:
- Define every report by its audience and the decision it must support.
- Eliminate metrics that do not inform an action, escalation, prioritization, or tradeoff.
- Assign accountable owners for billing, inventory, contracts, usage, and reporting refresh cycles.
- Reconcile a small group of high-value metrics before expanding dashboards.
- Align operational signals with financial results and planning cycles.
- Create concise executive views rather than requiring leaders to interpret detailed operational data.
This reduces reconciliation time, strengthens cross-functional alignment, and enables more confident decisions. A good report should help a leader approve, pause, redirect, or prioritize work, not simply review the past.
AOTMP Perspective
AOTMP recommends framing every report around a decision question. Begin with a small set of trusted metrics, establish clear data ownership, and align reporting cadence with the decisions leaders need to make.
When reporting shifts from recording activity to guiding action, it becomes a core capability for managing technology investments and delivering measurable business value.
