Vendor Selection Should Protect Long-Term Value

By Timothy C. Colwell, Executive Vice President at AOTMP

Is your organization selecting technology vendors based on the strongest sales presentation, or on evidence that the provider can deliver, support, and evolve with your business?

The AOTMP Community, including Advisory Council members, Industry Leadership Committee members, subscribers, and thought leadership followers, consistently tells us that vendor selection decisions create long-term operational, financial, and resilience consequences.

A low initial price or compelling feature demonstration can obscure important questions. Can the vendor support your operating model? Is it financially viable? Does its security posture meet your requirements? Will its roadmap remain aligned with your direction? Can it perform consistently at your scale, across your locations, and through changing business conditions?

The right vendor decision is not simply about choosing a product. It is about establishing a relationship that can deliver measurable value over time.

Best Practice: Evaluate fit, risk, and performance in addition to features and price

Use a decision framework that is proportional to the investment’s complexity and business impact.

  • Define evaluation criteria before vendor demonstrations begin.
  • Assess financial viability, cybersecurity posture, insurance, compliance, and operational capacity.
  • Involve frontline users, support teams, procurement, finance, security, and technology operations.
  • Conduct reference checks that include both successful and difficult customer experiences.
  • Use pilots or proof-of-concept testing to validate performance in your environment.

Actions to Take

  • Create a weighted vendor scorecard aligned with business outcomes and operational requirements.
  • Request detailed information on implementation effort, pricing assumptions, service levels, and scalability.
  • Review the provider’s product roadmap and relevant market or ownership changes.
  • Define exit, transition, and continuity expectations before contract signature.
  • Establish quarterly stewardship reviews with commercial and operational vendor contacts.

How to Measure Success

  • Percentage of vendor commitments achieved against SLAs and implementation milestones.
  • Stakeholder satisfaction with vendor responsiveness and support quality.
  • Number of material service, security, or contractual exceptions.
  • Accuracy of vendor invoices, service records, and performance reporting.
  • Percentage of strategic vendor reviews completed with documented actions.

Vendor selection is the beginning of vendor management, not the end of procurement. Organizations that choose providers through a balanced review of fit, risk, proof, and long-term accountability are better positioned to protect value and reduce disruption.

About Bearstone

Bearstone is a telecom vendor governance firm founded by Bill Henrichs, Former Head of Telecommunications at Simon Property Group. Managing telecom for a 200+ site portfolio, Bill saw what most CIOs learn: invoices routinely carry unauthorized charges — services billed after disconnect, rates outside contracted terms — that no one is validating line by line. He built Bearstone to close that gap.

Bearstone delivers BearGuard — a managed governance service that validates invoices against contracted terms, surfaces unauthorized charges and variance, and holds carriers accountable for correction. Where TEM platforms stop at reporting, BearGuard begins.

Headquartered in Noblesville, Indiana, Bearstone serves multi-site enterprises — retail, hospitality, and distribution — with 200+ locations or $2M+ in annual telecom spend.
