AI has moved from buzzword to budget line item, but many organizations still struggle to turn AI investments into measurable outcomes. Deploying an LLM or agent is the easy part; integrating it into workflows, governing it properly, and proving its value are much harder. Without that rigor, AI risks becoming another underutilized tool that fuels skepticism instead of transformation.
Start by anchoring AI use cases to specific problems. In technology management, strong candidates include invoice processing, contract analysis, dispute preparation, inventory normalization, and summarizing large datasets or meeting notes. Each use case should have a defined baseline (current effort, error rate, cycle time) and target improvement so outcomes can be quantified. Vague goals like “improve productivity” are insufficient.
Testing is non-negotiable. AI agents can be confident and wrong, generating inaccurate outputs or hallucinated citations that non-experts might trust. Organizations should test agents with real users and real data, validating links, numerical logic, and any code or actions proposed. A knowledgeable human-in-the-loop must review outputs for higher-risk workflows such as suspensions, orders, or vendor submissions.
Governance and information architecture are foundational. Allowing AI tools to freely access every SharePoint site, OneDrive folder, or document store invites security, compliance, and misinterpretation risks. Strong tagging, access control, content hygiene, and data minimization help ensure that AI operates on curated, relevant information instead of noisy or sensitive sources. This governance work often surfaces long-ignored data management issues that need attention regardless of AI.
Finally, train employees on responsible use. Users must learn to edit and own AI-generated text, avoid dumping unfiltered AI prose into proposals, business cases, or presentations, and recognize when outputs feel “off.” By pairing AI capabilities with human judgment, disciplined testing, and clear success metrics, technology leaders can move AI from hype to a reliable, measurable force multiplier across technology management.
